Creating Microsoft Office Outlook 2010 Artifacts from Work Items

Just as TeamLook seamlessly translates Microsoft Office Outlook 2010 artifacts into work items, it provides you with the tools to effortlessly convert a work item into an email, meeting, or task. Any work item opened in TeamLook will have three buttons along the top-left edge of the window: "Create Email," "Create Meeting," and "Create Task."

The create email, create meeting, and create task buttons are in the left corner of the toolbar at the top of a work item form.

Creating Emails from Work Items

Selecting "Create Email" will open a new email and automatically address it to whoever created the work item and whoever the work item was assigned to. TeamLook provides the name of the work item as the subject line of the email and compiles all of the work item's information into a table in the body of the message. TeamLook also includes hyperlinks to any other work items or files that the item is linked or attached to. Any of this information can be edited or deleted: you can change the subject like, add new contacts, trim or reorganize the table, etc.

Creating Meetings and Tasks from Work Items

Creating a meeting or a task works in the same way. Clicking "Create Meeting" or "Create Task" takes you to the familiar Microsoft Office Outlook 2010 form. The title of the work item is used for the subject line of the meeting or task. The details of the work items are copied into the body of the document. Convenient hyperlinks route you to any files or work items attached or linked to original work item.

You can also create emails and meetings from a list of work items gathered by a Query in the TeamLook Explorer. By right-clicking on a work item you may select "Create Email" or "Create Meeting." You cannot create tasks in this manner. However, you can create emails and meetings from multiple work items. Highlight whichever work items you want to include, right-click, and proceed as before. The multiple work items will be displayed in a table in the body of the message. The specifics of a single work item are accessible by hyperlink.

Opening Work Items from Within Emails

TeamLook also offers tools to unpack emails generated from work items upon receiving one. Most importantly, any email containing work items will have a button, "Open Work Item," designated by an orange folder in the TeamLook section of the message ribbon. Clicking "Open Work Item" will open a drop-down menu listing all of the work items contained within in the email. This includes the work item the email was generated from as well as any work items that it is linked to. Selecting one will open the item in the familiar work item form. Clicking a work item hyperlink within the body of a message will open the item in your web browser. Only using the "Open Work Item" feature will open the work item in TeamLook and give you the opportunity to edit the item. This feature is for emails only. Work items contained in meeting invitations and tasks can only be viewed online by following the hyperlink in the body of the message.

The link in the body of a message will open the work item in your browser. The Open Work Item tool in the upper-right corner of message's ribbon bar will open the work item or its linked items in TeamLook.
